Why You Need a Gmail Email Signature
Your Gmail email signature is your digital business card. Every email you send is an opportunity to reinforce your brand, share contact details, and look professional. Whether you're a freelancer, a small business owner in Sydney, or running a corporate team in Melbourne, a well-designed signature sets you apart.
Gmail is the most popular email client in Australia, used by millions of professionals daily. Yet most people either have no signature or use a plain text sign-off that looks unprofessional. This guide shows you exactly how to create and add a professional Gmail signature — in under 5 minutes.
Step 1: Create Your Email Signature
Before adding a signature to Gmail, you need to create one. You have two options:
- Use our email signature generator — Choose from 132 professionally designed templates at EmailSignatures.au. Customise colours, add your logo, social links, and contact details. Your HTML signature is generated instantly.
- Design manually — You can create a basic text signature directly in Gmail settings, but it won't support advanced styling, logos, or social media icons.
For the best results, we recommend using a professional template. Our Essential signatures start from just $29 AUD and include full HTML compatibility with Gmail.
Step 2: Open Gmail Settings
- Open Gmail in your web browser (mail.google.com).
- Click the gear icon (⚙️) in the top-right corner.
- Click "See all settings" in the quick settings panel.
- You'll land on the General tab — this is where signature settings are located.
Step 3: Create a New Signature
- Scroll down to the "Signature" section.
- Click "+ Create new".
- Enter a name for your signature (e.g., "Work" or "Company Name").
- Paste your HTML signature into the editor box. If you've purchased a signature from EmailSignatures.au, simply copy the HTML from the email you received and paste it directly.
💡 Tip: Gmail strips some HTML formatting when you paste. For best results, open the HTML file in a browser first, select all (Ctrl+A / Cmd+A), then copy and paste into Gmail. This preserves your signature's styling, colours, and layout.
Step 4: Set Your Signature as Default
Below the signature editor, you'll see "Signature defaults":
- For new emails: Select your new signature from the dropdown.
- For replies/forwards: Select your new signature (or choose a shorter version).
Step 5: Save Changes
Scroll to the bottom of the page and click "Save Changes". That's it! Your new professional email signature will now appear on every email you send from Gmail.
Gmail Signature on Mobile (Android & iOS)
Gmail mobile apps have limited signature support. Here's how to set one:
- Open the Gmail app on your phone.
- Tap the hamburger menu (☰) → Settings.
- Select your email account.
- Tap "Mobile Signature".
- Enter your signature text. Note: Gmail mobile doesn't support HTML signatures — only plain text. For a fully branded experience, install your HTML signature via the desktop version and it will appear in emails sent from the web.
Gmail Signature Best Practices
- Keep it concise — Include your name, title, company, phone, and 2–3 social links. Don't overload it.
- Use your brand colours — Match your signature to your company's brand identity for consistency.
- Include a call-to-action — Link to your website, booking page, or latest promotion.
- Add a professional headshot or logo — This builds trust and recognition.
- Keep image sizes small — Large images may be clipped by Gmail. We recommend keeping your signature under 100KB total.
- Test across devices — Send a test email to yourself and check it on desktop, mobile, and tablet.
Common Gmail Signature Problems (And How to Fix Them)
Here are the most common issues Australian users encounter:
- Signature looks different when sent: Gmail applies its own CSS sanitisation. Use inline styles (all EmailSignatures.au templates use inline CSS for maximum compatibility).
- Image not showing: Gmail requires images to be hosted online. Our signatures use properly hosted images.
- "-- " dashes above signature: Gmail adds a separator line by default. This is standard behaviour and can't be disabled.
- Signature clipped on long emails: Gmail clips messages over 102KB. Keep your signature lightweight.
