Email Signature Image Hosting Guide

Your logo, headshot, and banner need to be hosted online for email signatures. Here's where to host them and best practices.

Why You Need Image Hosting

Email signatures don't store images locally — they reference images via URLs. When someone opens your email, their email client downloads the image from that URL. If the URL is broken or slow, your logo doesn't appear.

Image Hosting Options

🌐 Your Own Website (Recommended)

Upload images to your company website (e.g., yourcompany.com.au/images/logo.png). Most reliable — you control the hosting, uptime, and URL. Will never expire.

☁️ Cloud Storage (Google Drive / OneDrive)

Upload to Google Drive, set sharing to "Anyone with the link", and convert the sharing URL to a direct image link. Free but URLs are long and ugly.

Free image hosting. Upload your image, get a direct link. Simple but not ideal for business — images could be removed.

🟠 Amazon S3 / DigitalOcean Spaces

Professional cloud storage for businesses. Very reliable, fast CDN delivery. Costs a few cents per month.

Image Hosting Don'ts

  • ❌ Don't use base64-encoded images (bloats email size, blocked by some clients)
  • ❌ Don't use temporary hosting (links expire, your signature breaks)
  • ❌ Don't attach images (creates large attachments, triggers spam filters)
  • ❌ Don't use SVG (not supported in most email clients)
