How to Set Up Email Signature in Windows Mail

Set up a professional email signature in Windows Mail and the new Outlook app for Windows 11.

Windows Mail (Classic) Signature Setup

  1. Open Windows Mail app
  2. Click the ⚙️ Settings gear icon in the bottom-left
  3. Select Signature from the settings panel
  4. Select the email account from the dropdown
  5. Toggle "Use an email signature" to ON
  6. Type or paste your signature in the text box
  7. Click outside the settings panel to save

⚠️ Note: The classic Windows Mail app only supports plain text signatures. It does not support HTML, images, or formatting. For full HTML signatures, use the new Outlook for Windows or the Outlook desktop app.

New Outlook for Windows (2024+)

Microsoft has replaced Windows Mail with the new Outlook app. This version supports rich HTML signatures:

  1. Open the new Outlook app
  2. Click ⚙️ Settings (gear icon) in the top right
  3. Go to Mail → Compose and reply
  4. Scroll down to Email signature
  5. Click + New signature and give it a name
  6. Paste your HTML signature in the editor
  7. Set as default for new messages and/or replies
  8. Click Save
